Terms of Service

Last updated: 29 September 2026

Our subscription offering is being introduced. Paid subscriptions are not yet available in the application. Registration does not take payment. Automatic trial expiry, payment retries and read-only restrictions are not active yet. You will need to deliberately subscribe when paid service becomes available; registering does not authorise a future charge.

1. About InvoiceLite

InvoiceLite provides software to help small businesses prepare quotations and invoices and organise their business records. These terms describe use of the service and the subscription offering being introduced.

2. Acceptance of these terms

By creating an account or using InvoiceLite, you agree to these terms. Please read the Privacy Policy and Refund & Cancellation Policy. If you do not agree, do not create an account or continue using the service.

3. Eligibility and account responsibility

You must be legally able to enter into this agreement. If you act for a business, you must have authority to do so. Provide accurate account information and remain responsible for activity carried out through your account.

4. Account security

Keep your password confidential, use a strong password and log out on shared devices. Contact us promptly if you suspect unauthorised access. Do not use another person's account without permission.

5. What the service provides

InvoiceLite supports customer and item records, quotations, invoices, PDFs, document sharing, and manual payment records. Email sharing opens your email application; WhatsApp sharing prepares a message for you to send. An internet connection is required, including when the web app is installed.

InvoiceLite is not a full accounting service and does not collect or process payment of invoices you create for your customers. Mark paid is a manual record entered by you, not independent confirmation of payment.

6. Free trial

The offering includes a 30-day free trial. No card or payment details are required to start. The trial does not automatically convert into a paid subscription or authorise a charge. You must deliberately subscribe to begin paid service.

Automatic trial expiry is not active yet. The planned behaviour after an unsubscribed trial is read-only access, without deleting existing records. There is no automatic trial countdown or restriction in the current application.

7. Paid subscription

The plan being introduced costs R49 per month on a month-to-month basis. Paid subscriptions are not yet available in the application. When available, the price and payment arrangements will be shown before you deliberately subscribe.

8. Monthly renewal and failed payments

Once you deliberately subscribe to paid service, your subscription will automatically renew monthly until cancelled. Registration alone does not authorise recurring payments.

The intended failed-payment grace period is 7 days while payment is retried or corrected. If payment remains unsuccessful, the planned behaviour is read-only access. Payment retries and access restrictions are not active yet. A failed subscription payment will not by itself cause automatic deletion of existing data.

9. Cancellation

You may cancel a paid subscription at any time without a cancellation penalty. Cancellation stops future renewals; full paid access continues until the end of the billing period already paid for. Contact support@invoicelite.co.za to request cancellation or ask about billing. No self-service subscription cancellation control is currently available.

10. Refunds

Subscription fees are generally not automatically refunded solely because a subscription is cancelled during an already-paid billing period. If you believe you were charged incorrectly, charged more than once, experienced a billing error, or believe a refund is otherwise warranted, please contact InvoiceLite. Refund requests will be considered based on the circumstances and applicable law. See our Refund & Cancellation Policy.

11. Your business and customer data

As between you and InvoiceLite, you retain your rights in the information you enter, subject to the rights of your customers and other people. You allow InvoiceLite to store and process that information as needed to provide, secure and support the service, including sharing you initiate. Enter only customer information for which you have an appropriate lawful basis or permission.

12. Information you enter

You are responsible for the accuracy, relevance and lawful use of uploaded information, descriptions, notes, banking details and payment records. Keep copies of records that are important to your business. Do not enter information you are not entitled to use or disclose.

13. Quotations and invoices

Check each document before sending it. You are responsible for prices, descriptions, dates, totals, contractual terms and your dealings with customers. InvoiceLite does not become a party to transactions between you and your customers and does not resolve their payment or service disputes.

14. Tax, VAT and accounting

You remain responsible for tax and VAT treatment, accounting records and legal requirements applicable to your business. Software calculations do not replace your review or professional advice. Setting a VAT rate in InvoiceLite does not establish that you or a transaction qualify for that treatment.

15. Public document sharing

Document sharing uses public bearer-token links. Anyone possessing a valid URL can access the corresponding PDF without signing in. Links currently have no expiry or self-service revocation and are not restricted to a named recipient. Opening a document's detail page can generate its share link. Shared links display the current saved document and business details.

PDFs may contain business and customer information, descriptions, amounts, notes, banking details and payment information you supplied. Review these fields before sharing, including payment notes. Internal cost, profit and margin fields are excluded from customer PDFs. Recipients can retain or forward downloaded documents; do not share a link with someone who should not see its contents.

16. Acceptable use

Do not use InvoiceLite for unlawful or fraudulent activity, harassment, infringement of others' rights, distributing malicious content, unauthorised access, or interference with the service. Do not attempt to access another account's private records.

17. Availability and changes to the service

We aim to keep InvoiceLite available but cannot promise uninterrupted or error-free operation. Maintenance, connectivity and third-party outages may affect access. We may improve or change features and will give reasonable notice of material changes where practicable. Changes to paid pricing will be communicated before they apply to a future renewal, with an opportunity to cancel.

18. Intellectual property

The InvoiceLite software, branding and service materials remain the property of their respective owners. You receive permission to use the service under these terms, not ownership of the software. Your business records and uploaded branding remain subject to your and any third party's existing rights.

19. Third-party services

Hosting providers support operation of the service, and jsDelivr supplies interface resources. Email and WhatsApp sharing involve services you choose to use. Their own terms and privacy practices apply. Paystack may process subscription payments when payment functionality is introduced; no live subscription checkout is currently provided in the application.

20. Responsibility and liability

Use reasonable care when checking documents and maintaining your own business records. To the extent permitted by law, InvoiceLite is not responsible for losses caused by inaccurate information you enter, your dealings with customers, or events outside our reasonable control. This does not exclude responsibility that the law requires us to accept, including for our own conduct where liability cannot lawfully be limited.

Nothing in these Terms limits any rights or remedies that cannot lawfully be excluded under applicable South African law.

21. Suspension or termination

We may suspend or end access where reasonably necessary to address unlawful use, a material breach of these terms, or a security threat, subject to applicable law. Where appropriate, we will explain the reason and allow an opportunity to resolve it. This provision does not mean automatic subscription restrictions are currently implemented. Contact us if you wish to close your account; there is no self-service account deletion workflow.

22. Data after subscription cancellation

Subscription cancellation is separate from account deletion and does not automatically delete business records. After a trial or paid access ends, the intended future behaviour is read-only access; resubscribing is intended to restore create/edit access. Neither restriction nor restoration is currently automated. See the Privacy Policy for retention and contact us about retrieving or deleting information. Individual PDF downloads are available; a full account export is not currently provided.

23. Changes to these terms

Updated terms will be published here with a revised date. We will give reasonable notice of material changes where practicable and will not use changes to remove rights that cannot lawfully be excluded.

24. Applicable law

These terms are governed by South African law, subject to any mandatory rights and protections that apply.
